Notary Public & Legal Document Services
Official, Fast, and Internationally Recognized.
At NotaryServe, we turn complex legal paperwork into a simple, stress-free experience. Whether you need a quick signature witnessed in Ottawa, a certified true copy in Toronto and Milton, or a full Apostille authentication for use abroad, our licensed officers are ready to help.
Unlike standard shipping stores, our seals are fully registered with Official Documents Services (ODS) and recognized by Global Affairs Canada, ensuring your documents are accepted by governments, banks, and universities worldwide.
1. Notarization & Witnessing
We administer oaths, affirmations, and solemn declarations.
- Important: Do not sign your document until you are in the physical or virtual presence of our Notary.
Affidavits & Oaths
- OSAP Affidavits: For student loan applications and income verification.
- Vehicle Transfer (Sworn Statement): For gifting a used vehicle to a family member (ServiceOntario family gift program).
- Affidavits of Service & Identity: For court proceedings or professional identity verification.
- Common Law Declarations: Proof of relationship status for insurance, immigration, or pension benefits.
- Custodianship Declarations: Required for international students (minors) studying in Canada.
- Affidavit of Executions: For court proceedings, wills, powers of attorney and other legal or court processes.

- Passport and Travel Document Applications: Statutory Declaration in Lieu of Guarantor (example, Form PPTC 326) and declarations for lost/stolen/damaged passports and travel documents.
- Construction Forms: Commissioning of CCDC documents, progress payment draws, and statutory declarations for construction liens.
Legal Agreements & Wills
- Powers of Attorney: Witnessing signatures for Property or Personal Care.
- Last Will and Testament: Witnessing execution (requires two witnesses—we can provide the second witness upon request).
- Separation Agreements: Witnessing signatures for domestic contracts.
2. Apostille & Authentication (International Use)
Sending documents outside of Canada? Since Canada joined the Hague Apostille Convention in January 2024, the process has changed. We simplify it.
Because our notary signatures are strictly registered with the Ministry, we are the ideal first step for international document legalization. We ensure your paperwork is prepared correctly for:
- The Hague Apostille: A single certificate for countries like Mexico, India, the Philippines, and most of Europe.
- Consular Legalization: The traditional two-step process for non-Hague countries (e.g., UAE, China, Qatar).
Common Use Cases: International property sales, foreign work visas, destination weddings, and inheritance matters.
3. Certified True Copies
We verify that a photocopy of an original document is a true, accurate, and unaltered reproduction.
- Documents We Can Certify as True Copies include, but are not limited to: passports, driver’s licences, birth certificates, marriage certificates, university degrees, academic transcripts, professional certifications, wills, and other official, legal, or government-issued documents.
- The Golden Rule: You must bring the original document to your appointment. We cannot certify a copy of a copy.
- Translation Note: If your document is not in English or French, a certified translation may be required before we can notarize it.
4. Document Drafting Services
Don’t have the document you need yet? You don’t always need a lawyer to draft standard administrative forms. We offer instant drafting services for:
- Travel Consent Letters: Customized to your specific trip details.
- Letters of Invitation: Formatted correctly for IRCC visa applications.
- Simple Affidavits: For lost ID, proof of residency, or ownership declarations.
- Wills, Powers of Attorney, Gift Declarations, and other Legal Documents.
Remote Online Notarization (Virtual)
Cannot make it to our office? We may offer secure digital notarization via video call, where permitted by law.
- Valid Across Ontario: Legally recognized by the Law Society of Ontario.
- How it Works: You sign electronically while on a video call with our notary.
- Best For: Affidavits, Statutory Declarations, and many government forms.
(Note: Certified True Copies and Wills usually require in-person appointments.)
